Global Brands Group Sales Administration Manager in London, United Kingdom

PURPOSE OF THE JOB:

• To support the sales team in fulfilling customer requirements, particularly admin-based tasks

• To liaise with operations and logistics teams on order follow up and communication with customers as required

• To manage all small independent accounts, taking orders over the phone and following up queries

• To work both independently and within the team, to provide support to the sales teams, providing a link between sales, operations and merchandising

• To people manage the sales support administrators for each region

RESPONSIBILITIES:

Strategy & Innovation:

• Ensure an excellent understanding of all product, brands, phasing and categories

• Be aware of individual team and divisional targets over weekly monthly and annual periods

• Deputise from time to time when the rest of the sales team are away at shows and travelling etc. providing an excellent knowledge of customers and brand relating to remit of role

Operations & Results:

• Help to load sales orders on NuOrder where required

• Liaise with NuOrder team to iron out any issues (customers not set up, missing lines, etc)

• Pull linebooks through NuOrder each season, for all brands

• Ensure any sales orders received from customers via email have accurate information (dates, prices, account terms, addresses etc), before sending onto operations teams to load onto the AX system

• Be the go-to contact for any queries from ops teams related to order loading

• Chase customers for POs

• Send order confirmations to customers (provided by operation teams)

• Manage all returns in conjunction with operations teams

• Advise customers of cancelled lines and delivery delays etc., as advised by merchandising teams

• Provide other information as routinely required by customer, such as confirmed delivery dates, barcodes etc.

• Complete and send out customer template sheets where required

• Organise sample requests in a timely manner, liaising with the operations teams where required and filling in sample trackers

• Send out information with regard to shows, promotions, sales lists, etc., as requested by sales team

• Ensure new season launch materials are sent out to all relevant customers each season

• Check customer websites, ensuring all product launched is online

• Communicate any changes in customer details to credit control and operations

• Assist with marketing queries where applicable

• Relabel and send imagery to customers where required, chasing photography teams if anything is missing

• Generate bestseller sheets weekly/monthly/as required

• Support account managers where required

• Visit stores in key periods if necessary

• Any other ad hoc duties as & when required

Customers & Relationships:

• Communicate professionally and clearly with all customers, ensuring they are accurately provided with any required information

• Build relationships with all small independent accounts, following up queries in a timely manner and being their main point of contact

• Provide an excellent service to the operations team, to ensure accurate and timely delivery for every order; to every customer; for every delivery phase; in turn, maximising sales

• Liaise effectively with the merchandising team, ensuring all amendments and delays are communicated to the customer and discussed with the operations team where it will affect delivery

• Integrate well within the sales team, supporting this function effectively and efficiently within the business; working with all members of the sales team, across multiple accounts

• People manager to Sales Administrators – all tasks associated with this including performance management, support, approvals.

Skills & Qualifications:

• Experience in the wholesale fashion industry, in particular accessories and footwear

• Understanding of end to end supply chain

• Intermediate Excel skills

• Knowledge of AX systems advantageous
