Basic Purpose andObjective:

The Facilities Assistant will support the office in the delivery of a facilities service throughout the site

Essential Functionsand Accountabilities:

· Reception duties including incoming telephone calls and meet and greet visitors.

· Set up rooms for meetings and training events

· Carry out daily print room checks

· Anticipate and respond to all maintenance queries and repairs

· Manage security systems and badges

· Manage car parking requests

· Assist with document storage in line with corporate procedures

· Mail sorting scanning and distribution. Dispatching outgoing mail

· Assist with the ordering and distribution of stationery

· Provide support with health and safety issues

· Assist in the space planning and move management for the office

· Liaise with suppliers, contractors and facilities management

· Carry out set Facilities project work and ad hoc requests as required

· Undertake service inspections and daily checks and reports failures

· Assist with employee hotel and travel bookings

· Assist in the day to day running of the site

· Ensure that Facilities policies and procedures are followed

· Act as the first point of contact for other departments

Education and Experience:

  • Good standard ofeducation

  • aprofessional with a High School Diploma

  • 1-2 years ofclerical/administrative experience

Knowledge, Skills and Abilities:

  • Excellentinterpersonal skills

  • Aneffective multi-tasker

  • Highlyorganized

  • Excellentspoken and written English

  • Teamplayer

  • ExcellentMS office skills

  • Abilityto communicate clearly and concisely

  • Flexiblewith work hours – willing to work on night-shift (22:00 to 07:00)

  • Provenability to be flexible in a fast moving and challenging office environment

  • Attentionto detail and the ability to work with minimal supervision

  • Provenability to work to tight deadlines, to prioritise workload and utilizetime efficiently to maximize the number of tasks completed.

  • Accuracyand business awareness

  • No travelrequired

  • Occasional dayshift and weekend work as required

  • Officeoperational hours 24/7
