DHX Media – Vancouver is looking for an experienced Production Coordinator to join our 3D team!

The role:

We are currently searching for a Production Coordinator for our Script and Storyboard departments. On the Script front, the Production Coordinator will be the point person for drafts coming in, distributing scripts and tracking all notes. They also assist with Voice Record prep. When working with Storyboards the Production Coordinator, in conjunction with the Storyboard Supervisor, must ensure that the Storyboard Artists have all necessary materials for production and monitor all deadlines for boards, revisions and editorial to ensure that final animatic delivery is made.

We are looking for someone who is incredibly organized and calm under pressure, passionate about the details, highly communicative and excited about joining a talented team of industry professionals working to create some of the best quality kids’ content in the business!

You will get to:

  • Be the point person for all script drafts coming from the Story Editor/writer(s)

  • Format scripts in Final Draft

  • Monitor the script schedule and make the Producer aware of any concerns and missed deadlines

  • Collect, organize and track the progress of all script notes internally and from all external clients

  • Maintain script status reports and keep them up to date on a daily basis

  • Distribute scripts internally/externally, tracking notes and feedback when they are due

  • Set up script meetings with Director(s), Producer, Production Manager, Story Editor and Clients to discuss schedule and priorities

  • Send approved and polished scripts for legal clearance

  • Create cast plots for each received script version, updating cast list and flagging any budget overages to the Producer

  • Ensure voice record draft is up-to-date with last-minute dialogue changes and distribute scripts to Voice Record Coordinator for the voice record

  • Assist with preparing and organizing Voice Record materials

  • Work with Production Manager and Storyboard Supervisor to create and send out Storyboard Packages;

  • Ensure that the Storyboard Artists have any updated materials (designs, scripts);

  • Track all boards in production through its various stages and ensure that all storyboard deadlines are met for each episode;

  • Schedule and attend meetings between Storyboard Artists, Storyboard Supervisors, and Directors as required;

  • Track revisions and schedule revisionists’ time

  • Maintain the flow of communication between the Storyboard Artists, Storyboard Supervisor, Series Director and Production;

  • Importing, cropping, exporting and distributing board panels for animatic;

  • Assist Production Manager with tracking editorial milestones

  • Distribute storyboard animatic internally/externally and track all notes

  • Liaise with the Design Coordinator for board pulls.

  • Effectively listen to, understand, and follow directions

  • Prioritize and plan own work effectively to meet objectives

  • Participate in production meetings and readily modify, respond to and integrate changes as requested by the Producer and Production Manager

  • Be aware of what is happening on the team at all times and identify obstacles to the Production Manager

  • Assist and complete any other production-related assignments as they arise

  • Ensure the Producer’s, Production Manager’s and Series Director’s instructions are carried through

You will be a great fit on our team if you have…

  • 1 year previous production or administrative experience

  • Strong knowledge of Microsoft Word and Excel such as basic formulas, formatting spreadsheets into presentable formats, exporting data from Excel to other formats, linking workbooks, sorting data for analysis, and copying and pasting data sets between workbooks

  • Knowledge of Final Draft preferable

  • Excellent communication and inter-personal skills (both verbal and written)

  • Ability to proactively anticipate the needs of production

  • Detail orientation and strong organizational skills;

  • Ability to multitask, prioritize and manage time efficiently

  • Ability to work alone and collaboratively, often with multiple tasks and under deadline pressure

  • Must be open to direction and able to embrace change
